Job Purpose and Objectives:

The Administrative Assistant facilitates the efficient operation of the County Administration office by performing a variety of clerical and administrative tasks. This position will engage with a diverse group of external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload.

 

 Responsibilities:

1.       Multi line phone management for the Administration office.

2.       Welcome and direct internal and external visitors.

3.       Coordinates meetings, travel, conferences and appointments for all divisions of County Administration.  

4.       Creates and develops visual presentations as requested.

5.       Establishes, develops, and maintains filing system for the administration department to include County Administration, Finance, Human Resources and Payroll.  

6.       Establishes, develops, and maintains effective communication with Board of County Commission and County Administrator.

7.       Sorts and distributes mail for administration department.

8.       Drafts written responses or replies by phone or e-mail when necessary.

9.       Responds to regularly occurring requests for information.

10.   Handles confidential and non-routine information when necessary.

11.   Works independently and within a team on special nonrecurring and ongoing projects. May assist on special projects, at the request of the County Administrator, which may include: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures.

12.   Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Responsible for accuracy and clarity of final copy.

13.   Processes accounts payable.

14.   Maintains office supplies and coordinates maintenance of office equipment.

15.   Performs other related duties as assigned.

Not applicable.

 

Minimum Education and Experience:

Associates degree and two years of administrative experience or high school diploma and five plus years of relevant experience. Bi-lingual preferred.

 

Preferred Education and Experience:

Associate's degree and five plus years in an administrative role. Bi-lingual preferred.

 

 

Qualifications and Requirements: Requirements listed below are representative of the knowledge, skill, and/or ability required.

Valid driver’s license

Proficient with Microsoft Office Suite

Ability to communicate effectively with the public and employees

Ability to keep information confidential

Ability to operate computer, 10 key, copier and multi-line phone system, fax, and scanner

Ability to type 60 wpm with an 85 percent accuracy rate

Ability to work independently without supervision and uses own judgment in determining priorities and procedures used, obtaining assistance in new or unusual situations

Ability to understand drafting of words, rules of composition, and grammar

Ability to be highly organized

Ability to have attention to detail

Knowledge of general bookkeeping

Coordinating Video and Audio Conference Calls
